How we collect, use and protect information about you and your child.

Privacy Notice

Who we are

Studio 7 Theatre Arts is a dance and musical theatre school in Scunthorpe. We are the data controller for the information described below.

What we collect

About students:

  • Name, date of birth and gender
  • Medical conditions, allergies, medication and any additional or access needs
  • Which classes they attend, and their attendance record
  • Whether you have given permission for photographs, and for which uses
  • Notes made by the office about their place at the school

About parents, guardians and carers:

  • Name, email address, phone number and home address
  • Emergency contact names, relationships and phone numbers
  • Invoices, payments and any credit on the account
  • Records of policies you have accepted, including the date, time and the IP
  • Emails we have sent you, and whether they were delivered

Why we collect it

  • To teach your child safely. Medical conditions, allergies and additional
  • To run the timetable, take registers and know who is in the building.
  • To invoice you and take payment.
  • To contact you about classes, and in an emergency.
  • To meet our safeguarding obligations.
  • To enter students for examinations and festivals where you have asked us to.

Information about a child's health is treated as special category data under UK data protection law and is held only where it is necessary for their safety and wellbeing in class.

Who we share it with

We do not sell your information and we do not share it for marketing.

We use service providers who process data on our behalf, under contract and only on our instructions:

  • Our payment provider, for card payments. They hold your card details; we
  • Our email provider, for sending invoices, reminders and studio notices.
  • Our website hosting and database providers. Records are stored in the

We share information with others only where it is in the student's interest or we are required to:

  • Examination boards and festival organisers, when entering a student
  • The relevant authorities, where there is a safeguarding concern
  • North Lincolnshire Council, for chaperone licensing at performances

Photographs and video

We take photographs and video at classes, shows and examinations. We only use them where you have given permission, and permission is asked for separately for each use: displays inside the studio, our own social media, and our website or local press.

You can change or withdraw your permission at any time from the Photography page in your parent portal, or by telling us. Withdrawing permission does not affect your child's classes in any way.

How long we keep it

We keep records for as long as a student attends the school, and for a period afterwards so that we can answer questions about past classes, examinations and payments.

Financial records are kept for six years, as tax law requires. Records that we no longer need are deleted or securely destroyed.

Your rights

You can ask us to:

  • Show you what we hold about you or your child
  • Correct anything that is wrong
  • Delete information we no longer need to keep
  • Restrict or object to how we use it
  • Send you a copy in a portable format

If you are not happy with how we have handled your information you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113.

Keeping it safe

Access to student records is limited to staff who need it, and every time a student record is opened it is logged. Data is held in the United Kingdom.

Changes

If we change this notice we will publish the new version here and, where the change is significant, tell you about it.
